Notification of Award

Grants and contracts, cooperative agreements and subcontracts are awarded to the institution. When the Office of Sponsored Programs (OSP) receives notice that your proposal has been funded, we then review that document for appropriate terms and conditions. We check for reporting requirements, intellectual property clauses, indemnification, publication parameters, invoicing and payment schedules, and any potential restrictions.If the award document meets the university’s criteria, we accept the award and set up an account internally for you.We issue any associated subcontracts and/or consulting agreements, if applicable. We provide you, and your administrative team, with PeopleSoft access so that your new account may be appropriately monitored.

Additionally, it is a compliance requirement, that all Postdocs, all Graduate Research Assistants (GRAs) and all Undergraduate students take and pass the online coursework for Responsible Conduct of Research. If they’re paid off of the award, it is necessary to successfully take the coursework.School of Engineering has contracted with the Collaborative Institutional Training Initiative (CITI) Program to accomplish this. Modification of Award

Many of our PIs have good working relationships with the Program Officers at their funding agencies. However, in the event that something needs to be modified post-award, such as the Statement of Work (SOW) or a budget, or the amount of time committed to a project by senior personnel, then we ask that the PI contact OSR, and we will help you. Federal agencies require OSR approval and submission of modification requests when they happen post-award. Please be advised, however, that many agencies have waived the need for prior approval, depending upon the nature of the specific request. OSP will advise the PI as to what action, if any, is appropriate.


Award Closeout – End of Award

Monthly, via email, OSP sends out notifications to all PIs whose awards are showing an imminent end date. This is our attempt to help you manage your awards. Do you need a no-cost extension (is the work continuing?). If so, we will do the request to the agency, with proper justification, for you. If you expect the grant to end on time, we will help you with the invention declaration process, final financial reporting and any associated closeout documents to the sponsor, all in a timely manner.
